Compare, don't guess

This checklist uses the same rooms and items as the move-in checklist. For each item, copy the condition from the move-in report, record it now, and describe what changed. Only damage beyond normal wear and tear should carry a proposed deduction, and every amount should have a reason you can show.

  1. 1

    Do a walk-through first

  2. 2

Inspect again when the home is empty

  3. 3

    Note keys and meters

  4. 4

    Sign the record

  5. 5

    Send the deposit statement

Next: the itemized deposit statement (landlords) or the deposit return request letter (tenants).

Local rules we checked

Rules change and local laws can add more. Follow the source link before you rely on one.

  • New York

After either side gives notice to end the tenancy, the landlord must tell the tenant in writing that they can ask for an inspection. It happens one to two weeks before the end, with at least 48 hours’ written notice; the tenant may attend and gets an itemized list of proposed repairs or cleaning, which they can fix before leaving.

Once you and the landlord agree how much of the deposit comes back, it must be returned within 10 days. If you disagree, the deposit stays protected in the scheme until the dispute is sorted out.

Same rooms as the move-in checklist, so the two can be compared line by line. NY GOL §7-108(1-a)(d) and the GOV.UK deposit page were checked for the local rules.
